THE BUSINESS CHALLENGE

Move the mail. Keep the transition organized.

A successful email move includes more than copying messages. Folder structures, aliases, devices and messages arriving during transition need explicit treatment.

Practical capabilities.

Explore the workstreams below. Your proposal confirms the deliverables, dependencies and responsibilities selected for your project.

01 / INVENTORY MAILBOXES

02 / PILOT THE TRANSFER

Migration method and pilot

Choose a supported transfer method and test representative accounts before migrating the full group.

03 / COORDINATE CUTOVER

Cutover coordination

Plan DNS changes, final synchronization and user communication around an agreed change window.

04 / VALIDATE USER ACCESS

Post-move validation

Check access, sample folders and incoming and outgoing mail, keeping source retention and rollback considerations explicit.

FROM UNDERSTANDING TO ACTION

Final tools and platforms depend on your environment and the agreed scope. Named technologies describe potential implementation context, not vendor endorsements or partnerships.

CLEAR EXPECTATIONS

Know what you’re agreeing to.

Provider charges, licenses, support coverage and recovery objectives are confirmed in the scope. Uptime, zero downtime or loss-free migration are not promised without qualification.

01

Defined deliverables

Your proposal describes the outputs and acceptance checks, with dependencies and exclusions made explicit.

02

Agreed responsibilities

Access, approvals and third-party involvement are assigned before implementation or assessment begins.

03

A clear next step

Handover, follow-up work and ongoing support are confirmed according to the engagement you choose.

BEFORE WE BEGIN

Your questions,
answered.

Will contacts and calendars move with IMAP mail?

IMAP generally concerns email folders and messages. Contacts, calendars and other data require a separate review and an appropriate migration method.

Should we delete the old accounts immediately?

Source retention is part of the migration plan. Old accounts should not be removed until agreed validation and retention requirements have been satisfied.

What is included in a email migration services engagement?

The agreed scope identifies which of the capabilities above are included, the required access or inputs, deliverables and acceptance checks. We confirm any third-party costs and follow-on work before the engagement begins.

What do you need to prepare a proposal?

Start with your current situation and desired outcome. For this service, helpful inputs include an inventory of current services and providers, required access through an approved method and a business contact for change-window decisions. We then clarify scope, dependencies and timing.

PLAN YOUR PROJECT

Mailbox transfer and mail-routing changes

Inventory accounts, data sizes and client settings, then plan synchronisation, DNS cutover and post-migration delivery checks.

Planning an infrastructure brief

List the workloads, domains, accounts and systems involved, along with existing providers and known dependencies. Agree who owns access, backup responsibilities and the proposed maintenance window.

What to agree before work starts

Confirm the deliverables, inputs, access arrangements and approval responsibilities in the proposal. Define how the completed work will be reviewed, what documentation is required and whether ongoing support is included.

Email Migration Services: a question to ask

Will a migration preserve every mailbox item?

The transferable data depends on the source, destination and migration method. Confirm folders, contacts, calendars and limits before starting.
